Privacy and photos

This website is run by the Vineyard Utah Grove Park Stake to share stake and ward news, events and resources. This page explains what information the site keeps, why, and for how long, and how photos and missionaries are shown.

Visiting the site

You don’t need an account to read this site.

  • No advertising or tracking. The site has no ads, no analytics or tracking scripts, and no social media trackers, and it doesn’t sell or share information with anyone.
  • Cookies. Reading the site sets no cookies. Anyone who signs in gets a few short-lived cookies that protect the sign-in itself, and leaders then keep one cookie that keeps them signed in. That is all.
  • Server logs. Like every website, our servers keep technical logs of requests (the page asked for, the time, and the internet address it came from) for security and to fix problems. They are kept for up to 30 days. We use them to count how often pages are visited, and we report only those counts, never who visited.

Signing in

Only leaders who update the site have accounts. For each, the site keeps their name, the email they sign in with, the callings and access they’ve been given, and a record of the changes they make, so that every change can be traced. If someone who doesn’t have an account tries to sign in, the site keeps the sign-in provider and the email address they used for 90 days, so the site’s administrators can check for mistakes and misuse.

Information we never collect

The site holds no member records. Nothing is copied from Church membership records, Member Tools or the ward directory. We don’t post home addresses, phone numbers, birthdays or lists of callings, and leaders are asked not to type them into the site.

The contact form

When you use the contact form, the site keeps your name, your email address and your message, so that the leaders it’s addressed to can answer you. Only the people responsible for that contact (for example, your bishopric for a ward contact) can read it. Messages are deleted after 90 days, or sooner if the recipient deletes them.

To limit abuse, the contact form and sign-ups keep a scrambled form of your internet address for about two days.

Please don’t put confidential or personal matters in the form. For those, ask for an appointment and talk in person.

Sign-ups

When you sign up for a service project, meal or event, the site keeps your name, the contact detail you give and any note, so the organizer can reach you. Only the organizer and the leaders responsible can see them; the public page shows only how many places are left. Your sign-up is deleted the day after the event’s last day. You can cancel with the link shown when you sign up, or by asking the organizer.

Sign-ups are for adults. Youth permission and medical forms go to your leaders, not this site.

Photos

We show a photo of identifiable people only with their consent:

  • a signed release, a public announcement at the event that photos were being taken, or a sign posted at the event; and
  • for anyone under 18, a written release from a parent or guardian.

Every photo is checked for this when it is added, and the site records how consent was given and where the signed release is kept. Photos are stripped of hidden information, such as the location where they were taken, before they are stored.

Missionaries

A missionary appears on the Missionaries page only with their written consent, and a parent’s written consent if they were under 18 when called. We show only their name, photo, mission, ward and the month they left: never a mailing address, email, phone number or travel dates. Families who want letters handle that directly. The list is reviewed every month, and each missionary is removed within a month of returning home.

Asking for a photo or listing to be removed

You can withdraw consent at any time, for yourself or your child. Contact us through the contact form, or write to us at 171 West 240 North, Vineyard, UT 84059, and say which page and photo or listing you mean. We take it down within 7 days, and aim to do it the same day.

When something is removed, it is deleted from the site at once. Copies remain for a short time in places we don’t control instantly:

  • our database backups, for up to 7 days, after which they are gone;
  • photos in shared web caches and in visitors’ browsers, for up to an hour.

We can’t recall copies that someone has already saved, downloaded or screenshotted, or that are held in a visitor’s own browser.

When the site is retired

If the stake retires this site, its photos, with how consent was given for each, and its links to videos go to the stake history. Everything else is deleted: accounts, sign-ups, messages and logs. Some copies stay for a time:

  • our database backups, for up to 7 days;
  • the hosting provider’s own record of administrative actions on the site, for up to 90 days.
